Frequently asked questions

What details should I include when requesting a catering quote?+

Provide the event date, complete address, estimated guest count, event type, serving time, preferred menu, desired service level, dietary needs, rental or floral interests, and approximate budget. Your plans do not need to be final; reasonable estimates are enough to begin.

Can I ask for pricing before my attendance is confirmed?+

Yes. Submit your best current guest-count estimate. The proposal can be revised as attendance becomes clearer, although significant changes may affect food quantities, staffing, equipment, rentals, and the final price.

What happens after the inquiry form is submitted?+

The team reviews the date, location, attendance, menu preferences, and requested service. You may receive follow-up questions, recommendations, or a preliminary proposal. Straightforward drop-off orders may be directed to online checkout, while weddings and complex events usually receive a custom quote.

Does sending an inquiry reserve the event date?+

No. A form submission, conversation, or preliminary proposal does not place the date on hold. The booking becomes confirmed only after the required checkout, signed agreement, and deposit requirements have been completed.

How quickly should I expect a response?+

The team aims to respond promptly during published business hours. Response time can vary with inquiry volume and event complexity. Providing complete information at the beginning reduces unnecessary back-and-forth and helps the team prepare a more useful first response.

Can I call rather than complete the online form?+

Yes. You may call during the listed phone hours. For a detailed event, submitting the form first is still helpful because it records the date, guest count, location, contact information, and initial needs in one place for the team to review.

When should I request a custom proposal instead of ordering online?+

Request a proposal for weddings, staffed events, plated or family-style meals, passed appetizers, large attendance, multiple service periods, rentals, florals, bartenders, several delivery addresses, extensive dietary needs, or complex venue access. Simple drop-off trays can often be ordered directly from the online menu.

Can I inquire before choosing the final venue?+

Yes. Provide the general city or area and note that the location is still being selected. Pricing and availability may remain preliminary until the exact address is known because parking, travel, loading access, staging space, and venue timelines can affect the service plan.

Which Tri-Valley areas can I mention in the request?+

Gimanelli's Catering considers events throughout Pleasanton and nearby communities. Requests involving Dublin Catering, Livermore Catering, San Ramon Catering, and Sunol Catering should include the full address so availability, delivery timing, staffing, and access can be confirmed rather than assumed from the city name alone.

What venue-access information helps produce an accurate quote?+

Share parking and loading rules, stairs, elevators, security check-in, gated entrances, long walking distances, available staging space, power and water access, outdoor conditions, setup windows, and firm departure deadlines. These factors can affect labor, equipment, and delivery timing.

Can your team recommend how much food to order?+

Yes. Include the guest count, meal time, event duration, service style, and dishes you are considering. Appropriate quantities depend on whether the food is a complete meal or light refreshment, how many selections are offered, and how long guests will have access to the food.

Can I request menu ideas within a specific budget?+

Yes. Share a realistic food budget or total event budget. A budget range helps the team recommend an appropriate menu and service format. The proposal can separate food, delivery, staffing, rentals, florals, and other charges so you can see how each decision affects the total.

Is the first proposal guaranteed to be the final price?+

Not necessarily. The initial proposal reflects the information available at that time. Changes to the guest count, menu, venue, staffing, rental inventory, floral scope, service style, or timeline may change the total. Review the newest proposal version before approving it.

Can I revise a proposal before confirming the event?+

Yes. Menu selections, quantities, dietary meals, beverages, desserts, staffing, rentals, and florals can be adjusted before final approval, subject to availability. More extensive changes may require a revised service plan or updated pricing.

What is required to secure a booking?+

Once the quote is approved, a catering agreement is sent for signature. Orders over $3,000 also require a 50% deposit to reserve the date. The proposal and agreement outline the applicable payment schedule, cancellation terms, and included services.

Can the guest count or menu change after booking?+

Yes. Guest-count and menu updates are welcome until 10 days before the event. After that deadline, changes may be limited because food, staffing, rentals, and equipment may already have been committed. Submit revisions as early as possible.

How should dietary restrictions and allergies be listed?+

Provide the exact number of vegetarian, vegan, gluten-free, dairy-free, nut-free, or other meals required. For allergies, identify the specific allergen and any important details. This allows the team to review suitable options and explain preparation limitations before the menu is confirmed.

Can bar service, rentals, and floral design be included in one quote?+

Yes. A custom proposal can combine catering with bartenders, guest tables, chairs, linens, china, glassware, serving equipment, centerpieces, installations, and tablescape design. The client or venue must purchase and provide alcoholic beverages for the bartending team.

Who should be listed as the event-day contact?+

Choose someone who will be reachable when the delivery or service team arrives and who understands the access plan. For weddings or events where the host will be unavailable, list the planner, coordinator, venue representative, office manager, or another responsible contact.

How do I contact the team about an existing order or estimate?+

Use the contact information associated with the booking and include the estimate or order number whenever possible. Send changes involving timing, attendance, menu selections, dietary needs, delivery instructions, or venue access promptly rather than waiting until the event day.
